How to write a thank you email after an interview
A good thank-you email is short, specific and sent quickly. It does three things: thanks the person for their time, mentions one thing you talked about, and restates in a sentence why you fit. That middle part matters most. “Thank you for your time, I enjoyed our conversation” could come from any candidate; “I enjoyed our conversation about cutting onboarding time in half” could only come from you.
- Fill in the names, the role and the company. Spell the interviewer’s name exactly as it appears in their email signature.
- Add one detail and one fit point. Write each as a short phrase; the tool fits it into the sentence.
- Choose a tone. Short suits phone screens and busy recruiters; warm suits a long interview, a final round or a conversation that clearly went well.
- Read it once, edit, then send it from your own email. Copy it, or open a draft in your email app.
Interview thank you email template
If you prefer to write it yourself, this is the structure the generator follows:
Hi Priya,
Thank you for meeting with me on video today about the Customer Success Manager role at Northwind. I enjoyed our conversation about the plan to cut onboarding time in half.
I am excited about the chance to bring four years of onboarding B2B customers to the team.
I look forward to hearing about the next steps.
Best regards,
Sam Lee
About 60 words. Interviewers read these on their phones between meetings, so shorter is usually better. Keep it under 150 words, one idea per paragraph, and no attachments unless they asked for something.
Thank you email subject line ideas
The subject line only needs to be clear. The interviewer should know who it is from and what it is about before opening it:
- Thank you for your time today, Priya
- Thank you: Customer Success Manager interview
- Great speaking with you about the Customer Success Manager role
- Thank you, and excited about Northwind (after a final round)
Avoid vague subjects like “Following up” or “Hello”, and skip exclamation marks. If you are replying to the thread that scheduled the interview, keeping that subject line is fine too.
When to send it, by type of interview
- Phone screen: the same day, ideally within a few hours. Keep it short.
- Video or in-person interview: within 24 hours, ideally the same day.
- Panel interview: within 24 hours, one email to each person, each with a different detail.
- Final round: the same day. Do not ask about the decision in the thank-you note; save that for a follow-up email if the date they gave you passes.
Thank you note after an interview: email or handwritten?
Email is the default. It arrives while the decision is being made, and it is easy to forward to the rest of the hiring team. A handwritten card can be a nice extra in some sectors or for a small company where you met people in person, but send an email first so the timing does not depend on the post.
Mistakes that undo a good interview
- The wrong name or company. Check both twice, especially if you reused a template.
- Re-arguing the interview. One sentence to fix a weak answer is fine (“I realised I didn’t mention…”); a long second answer is not.
- Asking about the decision. It turns a thank-you note into pressure.
- Copy-pasting the same email to every panellist. They may compare.
And while it is fresh, write down the questions you found hard. Practising them out loud before the next round, with the interview question generator or a mock interview, does more for your chances than any email.

Frequently asked questions
How soon should I send a thank you email after an interview?
Within 24 hours, and the same day when you can. After a phone screen or a final round, send it within a few hours, because decisions can be made quickly.
Should I send a thank you email after a phone screen with a recruiter?
Yes, a short one. Thank them for their time, mention one thing from the call and say you look forward to the next steps. Three or four sentences are enough.
What if I interviewed with several people?
Send each person their own email and mention something different you discussed with each. If you do not have everyone’s address, send one note to the recruiter or your main contact and ask them to pass on your thanks.
Can a thank you email change the hiring decision?
It rarely turns a no into a yes, but it is part of the impression you leave, and a missing or careless one can count against you when two candidates are close. A specific note also reminds the interviewer of what you talked about.
What should the subject line of a thank you email be?
Something plain that says who and what, such as “Thank you for your time today, Priya” or “Thank you: Customer Success Manager interview”. Replying in the existing email thread is also fine.
Does this generator use AI or save what I type?
No. It fills hand-written templates with your words inside your browser. Nothing is sent or saved, and “Open in my email app” only starts a draft in your own email app.
What is Readyo?
Readyo is an iPhone app for interview practice: an AI interviewer asks you questions out loud, you answer by voice, and you get a scored report with a better version of each answer. It is free to download and interviews are paid in the app. This web tool is free.
